Modernizing an SAP Concur Integration for S/4HANA Across 24 Markets
A Fortune Global 500 automotive manufacturer set out to migrate from SAP ECC to SAP S/4HANA across two dozen markets. The company needed to modernize its integration without disrupting day-to-day operations and meet a compressed cutover timeline within a broader, multi-workstream program. Acquis partnered with the organization to deliver a stable transition and design the integration to support continued market expansion.
Replacing a decade of custom integration
The company relied on a customized integration between SAP Concur and SAP ECC that managed expenses and cash advances and supported market-specific accounting requirements across more than 20 countries. Over time, the integration accumulated years of custom logic tied to local accounting codes, tax structures, and cost objects.
As part of its SAP S/4HANA migration, the company needed to replace that custom connection with SAP's Integration with Concur Solutions (ICS), a native framework designed for S/4HANA. The team needed to preserve the business rules each market depended on while avoiding the complexity of recreating years of custom development in a new environment.
Additional technical requirements added complexity. Company policy required all integrations to pass through SAP Cloud Platform Integration (CPI), and gaps in legacy documentation created configuration and troubleshooting challenges during the transition.
The team needed to complete the migration across 24 markets without disrupting business operations and execute the cutover within a one-week window.
Building a standardized integration for S/4HANA
Acquis guided the company through a full transition to ICS, replacing the legacy custom integration with a standardized framework aligned to S/4HANA. The team prioritized standard functionality wherever possible and introduced targeted extensions only when market-specific requirements demanded it.
Acquis documented the existing integration and identified which business rules the company still needed. For requirements that standard ICS functionality could not address, Acquis partnered with the company's SAP development team to implement business add-ins (BAdIs) that preserved local accounting needs while maintaining a consistent global framework.
The project also provided an opportunity to simplify underlying processes. Acquis helped standardize accounting structures, align tax configurations to the new ERP environment, remove redundant integration fields, and adopt the ICS standard approach for cash advance processing, eliminating a recurring source of posting errors and manual intervention.
To support the compressed timeline, Acquis coordinated closely with the broader S/4HANA program team, establishing a detailed cutover plan, cross-workstream governance, and clear procedures for issue resolution during deployment.
Live across 24 markets with 16,000+ expense reports processed
The company successfully migrated 24 markets to S/4HANA with the new SAP Concur integration in place. Three additional entities are scheduled to complete migration in late 2026.
The organization completed cutover within seven days while maintaining continuity for end users across all markets. A four-week hypercare period supported stabilization and issue resolution following go-live.
Since go-live, the company has processed more than 16,000 expense reports through the new ICS integration, including approximately 12,000 reports in 2025 alone. The move to ICS reduced posting errors and resolved long-standing cash advance challenges, removing much of the manual intervention the legacy integration required.
The company now operates on a standardized architecture that provides greater visibility into financial postings and a clear path to bring additional markets onto the same model.
