Custom NetSuite Integration and SAP Concur Upgrade for a Leading Digital Asset Management Firm

Acquis partnered with one of the largest digital asset management firms to upgrade its SAP Concur environment and design a custom NetSuite integration capable of scaling across a multi-entity corporate structure.

The Challenge

Upgrading, migrating, and integrating T&E systems 

As the firm prepared for its next phase of growth, leadership recognized the company’s SAP Concur tier and ERP no longer aligned with its operational needs.  

The firm chose to build on its established SAP Concur foundation by upgrading to SAP Concur Professional but elected to migrate from its legacy ERP to NetSuite. Running both implementations simultaneously across complex operational and technical environments demanded dedicated resources the firm did not have in-house. 

To support these parallel initiatives, the firm engaged Acquis to lead the SAP Concur Professional implementation while a third-party partner managed the NetSuite migration. 

As both efforts progressed, a critical gap emerged. The standard SAP Concur–NetSuite connector could not accommodate the organization’s structure or data requirements. Recognizing the need for a more flexible approach, Acquis recommended AcquisLink®, its proprietary integration platform, to design and build a custom connector. 

The Solution

Designing a custom, future-proof integration architecture

The client's structure shaped the integration design. As a subsidiary within a broader holding company, the organization operated within a shared NetSuite instance while maintaining separate SAP Concur environments across entities. This required an integration model that could accommodate variation across those environments. 

Working in close coordination with the client's finance team and its third-party NetSuite partner, Acquis defined how data needed to move between systems to deliver accuracy and control. This included mapping expense data, defining posting logic, and establishing a framework that would support bidirectional data flow. 

The team architected the AcquisLink integration with scale in mind. Acquis designed the connector as a repeatable framework that could be extended and adapted to additional entities within the organization without requiring a rebuild. 

The Results

A scalable T&E system and integration model  

The client successfully transitioned to SAP Concur Professional and migrated to NetSuite, connecting both systems successfully through AcquisLink. 

The immediate outcome was operational. The upgraded systems provided improved alignment between expense management and financial reporting, with data moving accurately and efficiently between platforms. 

The longer-term impact is structural. Acquis designed the integration to extend beyond a single entity, providing a proven framework that can be deployed across the organization. Each new implementation builds on an established, future-proofed foundation that reduces risk, effort, and time to value, making the client’s decision to continue their transformation journey that much easier.
