Priority Life Care Coupa Implementation
As Priority Life Care expanded its operations across the country, it identified the need to modernize its procurement infrastructure to support sustainable growth. The organization partnered with Acquis to implement Coupa’s procurement platform, moving from a primarily manual system to a more standardized and efficient approach. This update helped improve operational consistency while supporting the company’s ongoing focus on providing affordable senior care.

Where residents live their best lives
Since its founding in 2009, Priority Life Care has followed a singular mission: make quality senior living affordable and accessible. The family-owned provider specializes in independent living, assisted living, and memory care services, building a reputation for compassionate care and operational excellence. This commitment to service fueled remarkable growth, with the organization expanding its footprint to more than 69 communities in 13 states from Texas to New York.
A mission-driven organization at a crossroads
Priority Life Care's success brought unexpected challenges. As the company added new facilities, its procurement platform struggled to keep pace.
"Our expansion outpaced our current procurement platform," explains Stevie Schoenherr, Director of Procurement at Priority Life Care. “Something had to change if we wanted to maintain our growth while staying true to our mission."
Finding the right solution partner
Priority Life Care's leadership recognized that addressing these challenges required more than a simple software upgrade — the company needed a comprehensive procurement transformation. After evaluating several options, Priority Life Care selected Coupa for its robust automation capabilities and workflows and Acquis as its implementation partner, valuing the firm's deep expertise in procurement and long-standing partnership with Coupa.
Acquis took time to understand Priority Life Care's unique challenges in the senior living sector, acknowledging that success would demand going beyond implementation to provide a solution that aligned with the company's care-focused culture and ambitious growth plans.
The transformation journey
The implementation began with a comprehensive assessment of Priority Life Care's existing processes. In the current state platform, the team found issues with data integrity and an unfavorable user experience, especially for invoice entry.
Addressing these challenges required both technical expertise and change management skills. On the technical front, Acquis developed a custom integration solution that bridged Coupa with Point Click Care, Priority Life Care's existing ERP. This specialized connector automated the daily export of invoice data and converted it to a format compatible with the healthcare ERP system. The team also tackled the complex task of consolidating over 60 disparate supplier lists into a single master repository.
The implementation delivered a streamlined workflow for invoice handling that supported centralized operations while meeting localized billing requirements — a critical capability for a multi-state healthcare provider. Throughout the process, Acquis provided comprehensive training for approximately 350 users.
Realizing the vision: results and impact
Acquis completed the transformation within six months. The new system standardized procurement processes across all 69 facilities, streamlined approvals, and automated previously manual tasks.
Perhaps most importantly, Priority Life Care achieved its goal of creating a scalable operational model. The organization can now add new facilities without a corresponding increase in administrative headcount, enabling continued affordability for residents. The standardized processes also ensure consistent quality and compliance across locations, which reinforced the organization's reputation for excellence in care.
The Coupa implementation fostered a genuine partnership between Acquis and Priority Life Care that extended beyond the technical deployment. Through Managed Services support for ongoing operations, Acquis continues to help the organization maximize the value of its procurement transformation.
"What makes this partnership particularly rewarding is seeing how our procurement expertise directly enables Priority Life Care's mission of affordable senior living," shares Tyson Moore, Acquis' Senior Vice President and Procurement Lead. "We're not just helping them process invoices more efficiently — we're helping them scale a compassionate care model to serve more seniors across America. This is the kind of meaningful impact that drives our team, and we're excited to continue supporting their growth journey in the years ahead."
Looking forward: a foundation for future growth
With its procurement foundation now solidly in place, Priority Life Care is positioned to continue enhancing its automated processes with Acquis' ongoing support. The organization continues to explore additional capabilities within the Coupa platform, including enhanced analytics and strategic sourcing initiatives that promise to further optimize operations.
More importantly, the successful Coupa implementation and procurement transformation have freed Priority Life Care to focus on what matters most: providing compassionate, affordable senior living services. As it continues to grow and serve more communities across America, Priority Life Care’s systems will scale with it, supporting its mission rather than constraining it.
